Introduction :
Nurses, doctors, physiotherapists and other allied health workers receive and manage mass quantities of information from time to time in surgical ward. The conventional whiteboard displays key patient information through repeated manual data entry in a fixed format. The unclear hand written information would incur risks of transcription error and miscommunications. As the result, the information is lost when erased and it is time wasting to get this information again in a busy work environment. The Electronic board (SHARP board) is a relatively new technology and a presentation tool to replace the old whiteboard. It protects data after you save the file. The surgeons ‘call list is automatically updated which improves data accuracy. It also optimizes the display of information on a large-screen monitor supporting 1080P resolution in a tailor made format for the multidisciplinary team. It can also be used for case presentations and sharing of updated practice guidelines. Therefore, the SHARP board is more user-friendly and multifunctional than the conventional whiteboard. Our surgical ward is a pilot to use the SHARP board. The Share information High resolution Accuracy Readable Practical board plays a vital role to facilitate the collaboration of multidisciplinary team and to promote patient safety.
Objectives :
To strengthen communications and collaboration among multidisciplinary team members To improve patient safety through ensuring data accuracy To promote information sharing and updates To improve operation efficiency
Methodology :
Set up a workgroup with different representatives (Nov, 2018) Discuss among ward staff and collect information for adjusting the format of electronic inpatient whiteboard (Dec, 2018) Identify the barriers and invite feedback for improvement areas from multidisciplinary team (Dec, 2018) Design staff opinion survey for the program (Dec, 2018) Implement the program (Jan–Sep, 2019) Collect staff opinion survey from multidisciplinary team (Oct, 2019) Evaluate the program (Nov, 2019)
Result & Outcome :
35 staff were interviewed after the program including 6 surgeons, 2 physiotherapists, 16 nurses and 10 supporting staff. According to the result, 100% staff agreed & strongly agreed that the SHARP board was eye catching. 91% staff agreed & strongly agreed that it was multifunctional. 89% staff agreed & strongly agreed that the information shown on the SHARP board was clear and accurate. However, only 63% staff thought it was easy to use and required shorter time to input information. For those 37% staff was not agreed because the touch screen function was too sensitive and required additional time to correct the font size and the wrong words. Staff are welcome and react positively on the implementation of the electronic SHARP board. This new communication and information technology is essential for improving multi-disciplinary communications, quality improvement in patient safety, promote information sharing and operation efficiency. Yet, further modifications are still needed to make the SHARP board become more accessible and user friendly by enhancing automation,e.g.direct data retrival via CMS.
