Developing an electronic ward information conveying system using a Nursing Informatics perspective

Introduction :
Traidtionally, information about ward operation, clinical operation and other matters were conveyed by using verbal communication during shift handover period, and recording at a ward handovering book. It was very difficult, however, to retieve information after a period of time. Moreover, it was not convenient for nurses to get updated information if they take a long period of leave.
Objectives :
To develop an electronic ward information conveying system to enable nurses to get updated information at anywhere and anytime, and to retrieve related information conveniently and easily.
Methodology :
Although Hospital Authority has developed the HA chat for better communication, it is not user-friendly for conveying clinical matters. A self-developed system is designed to achieve the purposes as mentioned above after considering several social network sites. The administrator categorizes the nature of the information into different subtitles so that nurses may get easier to gather updating information. A searching function with hashtag is added for easy searching. They can use their smart phone or home computer to read information at anytime and anywhere. No sensitive information is uploaded to the system. Only our ward nurses can access the site with personal account required. Automatical email will be studied to send to the designated ward nurses if there is any updates of the site. Another advantage of the system is to avoid using paper and keeping the record books. A Google form survey was designed to determine the satisfaction of using the Google Site in terms of the convenience and ease to get information. Nurses were invited to complete the survey form between 15 and 25 December 2019.
Result & Outcome :
87.9 % of nurses responded the survey. 82.7 % agreed that the electronic ward information conveying system is convenient to use. 82.8% agreed that the system can retrieve the past information more easily. 72.4 % agreed that the system can facilitate nurses to know more information about intra-department. 89.7 % were satisfied with the system.
