Introduction :
Room Data Sheet (RDS) is a standard template adopted by Architectural Services Department (ArchSD) for collecting user requirements in hospital redevelopment projects. Since each RDS only records the requirements of one room, for a hospital with 100 nos. of rooms, users have to open and complete 100 nos. of RDS files in order to provide the requirements for all rooms, not to mention the workload of amending RDS if there are subsequent changes in user requirements. With large amount of RDS files and the inflexible format of the RDS template, tasks such as input & update of room requirements, tracking changes, as well as comparing requirements between rooms are extremely difficult and time consuming to be conducted. To improve the RDS preparation process and data accuracy, KWC Planning & Commissioning Team (KWC P&C) had invented and adopted the RDS Summary Table.
Objectives :
i) To provide a time-saving, convenient and user-friendly tool for room data comparisons and updates. ii) To improve the efficiency in tracking changes. iii) To facilitate clear and simple communication between KWC P&C, users and the vetting authorities on the changes made. iv) To enhance accuracy of data entry for room requirement.
Methodology :
The RDS Summary Table has been adopted in four KWC GOPC/ CHC development projects since 2019. With the adoption of the RDS Summary Table, data of all rooms can be inputted into one RDS Summary Table. Reading, comparing and amending of requirements for all rooms can be done in one single file instead of individual RDS. Being able to highlight changes in the RDS Summary Table, all changes and queries can be highlighted for easy tracking and facilitate communication between parties. Also, updates would only be made on one RDS Summary Table throughout the whole RDS preparation stage, no multiple files are required to be transferred.
Result & Outcome :
Ever since the adoption of the RDS Summary Table, the time required for tracking changes for each RDS had been greatly reduced for approximately 70%. In addition, accuracy of data entry for room requirement is enhanced by eliminating the risk of making mistakes during manual changes tracking. With the functions of highlighting and adding comments in the RDS Summary Table, communication between users and the vetting authorities on the RDS requirements becomes more convenient. The efficacy of data comparison is also enhanced when comparing the same RDS item of different rooms with the RDS Summary Table.
