Introduction :
Under the 10-year Hospital Development Plan (HDP), a number of hospitals are undergoing or will have redevelopment or expansion projects. Colleagues engaged in such projects often have to spend much time on tedious paper works for the preparation of Schedule of Accommodation (SoA) and Room Data Sheet (RDS).

The web portal proposed in this abstract aims at facilitating staff to achieve efficient submissions of SoA and RDS.
Objectives :
- To enable colleagues plan for hospital redevelopment projects more effectively and efficiently
- To create positive synergies among hospital capital projects.
Methodology :
A web portal with function similar to “e-shopping” would be developed for the preparation of SoA and RDS. To make this a reality, the following steps would be taken:-

1) Data collection and analysis

First, SoA and RDS blank forms would be uploaded for creating templates.

For SoA, established space standards including space entitlement and space ancillary guidelines should be input as data.

For rooms without official standards areas or provisions, data should be collected from approved SoA and RDS of HA capital projects for analyzing items and areas in common.

2) Provision of Standard Templates
After common items are drawn from analysis, standard templates of SoA and RDS for particular rooms and departments would be created and readily available for colleagues to choose from in just a few clicks. The template would contain pre-set common items & respective quantity and room size drawn from data analysis. For instance, the SoA template for a general ward would already contain items like 6-bed cubicle, 1 medicine room, 1 nurse station with proposed areas drawn from benchmarking with other capital projects.

3) Customization
Colleagues can further customize their requirements in the SoA/RDS templates by adjusting quantity of pre-set items and room size requirements. For example, they can adjust the size of the nurse station by adding the number of staff and F&E. After making all adjustments, staff can generate the RDS and SoA in excel and PDF formats for submission to CPD & GPA.
Result & Outcome :
With this web portal, colleagues can significantly save their time in benchmarking and drafting SoA and RDS. The time saved can be better utilized in contemplating service/workflow/operational logistics improvements in new Hospitals, and therefore ensuring project deliverables can cope with the demand for clinical services. More importantly, synergies created from various HA capital projects would be invaluable asset to guide HA’s future directions in planning the 2nd HDP.
